How To Set Up Your Email In Outlook For Windows

This guide shows you how to add your Easy Sites email address to Outlook on a Windows PC. There are two versions of Outlook for Windows today:

  • The new Outlook for Windows, which comes free with Windows and replaces the old Windows Mail app.
  • Classic Outlook, the desktop app that comes with Microsoft 365 (which used to be called Office 365).

Follow the steps for the version you use. If one set of steps doesn't match what you see, try the other.

Before You Begin

You will need these details. Replace yourdomain.co.uk with your own domain name, and you@yourdomain.co.uk with your email address.

  • User name: your full email address, for example you@yourdomain.co.uk
  • Password: the password for that email address
  • Incoming mail server (IMAP): mail.yourdomain.co.uk, port 993, encryption SSL/TLS
  • Outgoing mail server (SMTP): mail.yourdomain.co.uk, port 465, encryption SSL/TLS, signing in with the same email address and password

You can check these at any time. Sign in to your Easy Sites account, select "edit site", click "Domain", then "Email Addresses", and click the cog icon next to your email address. If we set up your email address for you, the details are also in the email we sent you.

In The New Outlook For Windows

  1. Open Outlook. Select the "View" tab, then "View settings".
  2. Select "Accounts", then "Your accounts".
  3. Under "Email accounts", select "Add Account".
  4. Type your email address and select "Continue".
  5. If Outlook can't set up the account on its own, select "Advanced setup" and choose IMAP.
  6. Enter your password and the incoming and outgoing server settings from the list above, then continue.
  7. When Outlook tells you the account has been added, select "Done".

In Classic Outlook (Microsoft 365)

  1. Open Outlook and select "File", then "Add Account".
  2. Enter your email address, select "Advanced options", tick "Let me set up my account manually", then select "Connect".
  3. Choose "IMAP".
  4. On the "Account settings" screen, enter the incoming and outgoing server settings from the list above, with the encryption method set to SSL/TLS for both. Leave "Require logon using Secure Password Authentication (SPA)" unticked. Select "Next".
  5. Enter your password and select "Connect".
  6. When Outlook tells you the account has been added, select "Done".

If It Doesn't Connect

  • Check the server name, ports and encryption against the list above.
  • Use your full email address as the user name, not just the first part.
  • If you're not sure of your password, you can set a new one on the Email Addresses screen in your Easy Sites account.
  • If Outlook warns that the server's security certificate can't be trusted, please don't carry on. Raise a support ticket and our team will take a look.

Older Versions Of Outlook

Our guides for Outlook 2019, Outlook 2016 and Outlook for Office 365 are kept for reference. Microsoft stopped supporting Office 2016 and Office 2019 on 14 October 2025.
