This Email Services and Acceptable Use Policy forms part of the EasySites Terms and Conditions. It applies where EasySites provides or administers mailbox, alias, forwarding, relay, or related email services.
1) Scope
Email services may include mailbox hosting, mailbox administration, aliases, forwarding, SMTP/IMAP/POP access, DNS records used for email authentication, transactional delivery dependencies, and related support.
2) Core responsibility
You remain responsible for the content, recipients, campaigns, forwarding destinations, permissions, and legal compliance of email activity carried out through your services, accounts, mailboxes, and related settings.
3) Prohibited email use
You must not use EasySites email or forwarding services for:
- spam, unsolicited bulk messaging, or list-purchase campaigns;
- phishing, impersonation, credential theft, malware delivery, or scam activity;
- misleading sender identity, forged headers, or unauthorised relaying;
- distribution of unlawful, abusive, or infringing content;
- campaigns that breach PECR, data-protection law, or other applicable marketing rules; or
- activity likely to damage shared sender reputation, blacklist status, or service stability.
4) Delivery and availability disclaimers
Email depends on third-party systems, mailbox providers, filtering providers, DNS propagation, anti-spam tools, receiving-server decisions, and internet connectivity. We do not guarantee:
- delivery timing or successful receipt;
- inbox placement rather than junk or quarantine placement;
- absence from blacklists or reputation systems;
- continuous mailbox availability or uninterrupted syncing; or
- that receiving providers will accept, trust, or render your messages in the way you expect.
5) Forwarding and alias risk
You are responsible for the destination and ongoing accuracy of forwarding rules, aliases, and distribution arrangements. Forwarding can create delay, loop, filtering, spoofing, or delivery issues outside our control.
6) Security and account hygiene
You must use strong passwords, enable extra security controls where available, protect user devices and client software, revoke access promptly when staff or contractors leave, and keep mailbox recovery and contact details current.
7) Abuse monitoring and enforcement
We may monitor delivery diagnostics, abuse reports, blacklist events, spam signals, authentication failures, and other operational indicators to protect EasySites, shared mail infrastructure, and third parties.
Where reasonably necessary, we may without prior notice:
- suspend a mailbox, alias, forward, or related service;
- rate-limit or block outbound mail;
- require password resets, DNS changes, or corrective action;
- remove forwarding rules or unsafe configurations; or
- terminate email services for repeat or serious abuse.
8) Content retention and recovery windows
Mailbox content and email administration records are subject to the EasySites Privacy Notice, including the retention and recovery windows described there. Recovery or restore features, where available, are limited operational tools and not guaranteed archives.
9) Relationship with the Terms and AUP
This document supplements both the EasySites Terms and Conditions and the Acceptable Use Policy. If there is a conflict between the general Terms and this document on an email-specific issue, this document takes precedence for that issue.
